How to Use FieldTap Connect
A step-by-step guide to sharing projects and field data directly between organizations. From sending your first connection request to managing ongoing collaborations.
Prerequisites
Both organizations need active FieldTap accounts. FieldTap Connect is included in all Team plans at no extra cost.
You need Admin or Project Manager role in your organization to initiate connections. Field Directors and Field Technicians can work with shared data but cannot create new connections.
Send a Connection Request
Navigate to Settings → Connections in your dashboard. Click "New Connection" and enter the partner organization's name or admin email address.
Add an optional message describing why you'd like to connect - this helps the receiving organization identify your request.
Click "Send Request" to submit. The partner organization's admin will receive a notification.
Partner Accepts the Request
Your partner's admin receives the connection request in their Settings → Connections panel. They review your organization details and accept with one click.
Once accepted, both organizations appear in each other's connection list. No data is shared yet - accepting a connection simply establishes the relationship.
Share a Project
Open the project you want to share and go to the Team tab. Click "Share with Organization" and select the connected partner from the dropdown.
Choose which data to share: the entire project, specific form types, or specific date ranges. You control the scope.
Set Permissions
For each shared project, set the partner's access level:
View Only - Partner can see records, photos, and maps but cannot modify anything. Ideal for client deliverable sharing.
Contribute - Partner can add new records to the project. They cannot edit or delete existing records from your organization. Perfect for sub-consultant data collection.
Full Access - Partner can view, add, edit, and manage records. Use for joint ventures where both firms need full control.
Collaborate
Once sharing is active, both organizations see shared records in real time. Changes sync automatically through FieldTap's offline-first engine.
Shared records are clearly marked with the originating organization. The full audit trail tracks who created, modified, and reviewed every record.
Field crews can collect data offline as usual - shared data syncs when connectivity returns.
Managing Connections
View all active connections in Settings → Connections. For each connection, you can see shared projects, permission levels, and activity history.
Change permissions on any shared project at any time. Upgrade from View Only to Contribute, or downgrade as project phases change.
Add or remove shared projects as your collaboration scope evolves.
Revoking Access
To stop sharing a specific project, open the project's Team tab and click "Remove" next to the partner organization.
To disconnect entirely, go to Settings → Connections and click "Disconnect" next to the organization. This revokes access to all shared projects immediately.
Revoking access does not delete any data. Records created by the partner organization remain in your project. Your records remain in theirs if they were shared bidirectionally.
